One-on-one meeting notes template

A good one-on-one belongs to the employee: check in on how they are doing, review priorities, swap feedback both ways and talk about growth. The one-on-one template gives you those sections and a place for the commitments each of you made.

Useful one-on-one questions

  • What is on your mind this week?
  • What is going well, and what is getting in the way?
  • Is there anything I could do differently to help?
  • What skill do you want to build next?
  • What should we stop doing?

One-on-one meeting notes: questions and answers

Should one-on-one notes be shared?

Share the agreed actions with each other. Keep private notes private; the draft lives only on your device.

How often should one-on-ones happen?

Weekly or every two weeks is common. Consistency matters more than length.

Is my 1:1 draft uploaded?

No. It is saved in your browser only, and Clear draft removes it.

What to put in meeting minutes, and what to leave out

Include

  • Meeting name, date, time and place or link
  • Who chaired and who took the notes
  • Attendees and apologies (and quorum, for boards)
  • The purpose or agenda, item by item
  • A short summary of each discussion, not a transcript
  • Every decision, worded exactly as agreed (motions with mover, seconder and vote for boards)
  • Action items with one owner and a due date each
  • Open questions and parked topics
  • Date of the next meeting

Leave out

  • Word-for-word chatter and side conversations
  • Personal opinions, jokes or emotional remarks
  • Who said what in a heated debate, unless the record requires it
  • Confidential or legal advice that belongs in a separate privileged record
  • Guesses about owners or deadlines nobody actually stated
