What the template includes

  • Meeting name, date, time and place or link
  • Who chaired and who took the notes
  • Attendees and apologies (and quorum, for boards)
  • The purpose or agenda, item by item
  • A short summary of each discussion, not a transcript
  • Every decision, worded exactly as agreed (motions with mover, seconder and vote for boards)
  • Action items with one owner and a due date each
  • Open questions and parked topics
  • Date of the next meeting

Seven formats in one template

  • Team meeting: progress, priorities, blockers
  • Board / committee: chair, secretary, quorum, resolutions
  • Daily standup: yesterday, today, blockers
  • One-on-one: wellbeing, feedback, growth
  • Project kickoff: goals, scope, roles, timeline, risks
  • Retrospective: went well, did not, ideas, actions
  • Client meeting: needs, proposal, concerns, next steps

Tips for faster minutes

  • Fill the header (date, attendees) before the meeting starts.
  • Type decisions the moment they are agreed, in the words used.
  • Write each action as one owner, a verb and a due date: "Lena - send the test plan to legal - Thursday".
  • Send the minutes within a day, then move the actions to the tracker.

Meeting minutes template: questions and answers

Can I use this meeting minutes template in Word or Google Docs?

Yes. Press Copy for email / Docs and paste into Word or Google Docs; headings, lists and the action table keep their formatting. You can also download the .html file and open it in Word.

Is my draft saved?

It autosaves to your browser's local storage, so a refresh does not lose it. It is not uploaded, and Clear draft removes it.

Which template should I pick?

Team meeting suits most recurring meetings. Use Board / committee when you need formal resolutions and attendance, and the standup, one-on-one, kickoff, retro or client formats for those specific meetings.
