Meeting agenda template with time slots

List your agenda items with minutes for each, and the planner gives every item a start and end time and warns you if the plan runs past the booked slot. During the meeting, run the item-by-item timer; afterwards, turn the agenda into a minutes template in one click.

How to write an agenda that keeps time

  • State the meeting goal in one sentence.
  • Put decisions early, updates late.
  • Give each item an owner and minutes, then leave 5 minutes spare.
  • Send it a day ahead so people come prepared.
  • If the plan runs over, cut or move items before the meeting, not during.

Ready-made agendas

  • Weekly team meeting (40 min)
  • Board meeting with motions (60 min)
  • 15-minute standup
  • 30-minute one-on-one
  • 60-minute project kickoff
  • 45-minute retrospective
  • 50-minute client meeting

Meeting agenda template: questions and answers

Does the timer keep running if I switch tabs?

It measures real elapsed time, so it stays correct when you come back to the tab.

Can I send the agenda as a calendar invite?

Copy the agenda text into your calendar invite's description. The tool does not create invites itself.

Is the agenda saved?

No, agenda and timer are for the current visit. Turn it into a minutes template to keep a draft.

What to put in meeting minutes, and what to leave out

Include

  • Meeting name, date, time and place or link
  • Who chaired and who took the notes
  • Attendees and apologies (and quorum, for boards)
  • The purpose or agenda, item by item
  • A short summary of each discussion, not a transcript
  • Every decision, worded exactly as agreed (motions with mover, seconder and vote for boards)
  • Action items with one owner and a due date each
  • Open questions and parked topics
  • Date of the next meeting

Leave out

  • Word-for-word chatter and side conversations
  • Personal opinions, jokes or emotional remarks
  • Who said what in a heated debate, unless the record requires it
  • Confidential or legal advice that belongs in a separate privileged record
  • Guesses about owners or deadlines nobody actually stated
